What should be achieved?
The employees in your company have the opportunity to create and / or update their personal employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need additional personnel on site.
You give your workforce the opportunity to fully identify themselves at any time with their individual employee photo.
The staff photos can be automatically cut to the ideal format, removed from disturbing elements in the background and optionally saved in many dimensions and aspect ratios.
One possible solution
You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There the employees can sit in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary steps on the screen.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the company ID card. The employee data recorded in this way then becomes a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the photo can also be displayed.
After the photo of the employee's picture has been taken, the background of the photo can be automatically exchanged for one or different backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and positioned on the final image at a defined point.
The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). A comparison between the photographed photo and the internal employee data record takes place via the name of the picture. We would be happy to help your IT department determine the interface.
A biometric check and a cut to a biometric ID photo are available as an option.
The image output can happen in several sizes at the same time.

Of course, each file can also be “personalized” with company logos and / or the name and position of the employee will also be visible on the picture.

How does the employee get the picture?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, the employee can choose between three different ways to receive his photo digitally.
- Download from an offline gallery via QR code
The photo box provides a private WLAN that the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's inbox. - Download from an online gallery
At the end of the sequence, a code is displayed or printed out on the touchscreen, which the employee can use to copy down his or her original photo and the different versions for the various target systems.
Alternative deployment options

The cost frame
The cost of purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
