What should be achieved?

The workforce in your company has the chance to photograph and / or bring up to date the personal employee photo at a fixed or periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need extra staff on site.
This gives your staff the option to always fully identify themselves with their individual employee photo.

The staff photos are automatically cut to the ideal format, removed from disruptive elements in the background and optionally saved in some dimensions and aspect ratios.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There the employees can sit in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary steps on the screen.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photobox can also be set up so that the data can be read directly from the company ID card. The employee data recorded in this way are then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal / external use of the employee profile.

After the photograph of the employee picture, the background of the recording can be automatically replaced with one or various background settings you have specified. The head of each photo is also analyzed, scaled to a specified size and positioned at a specified location on the final image.

The photo will be saved in a size and aspect ratio you have specified (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved photo and the internal employee data record. We would be happy to help your IT department clarify the interface.

A biometric check and a cut to a biometric ID photo are also available.

How does the employee get his picture?

So that the CRM system or ActiveDirectory alone does not benefit from the new recordings, there are three different ways for the workforce to get their picture as a file.

1. Entry of the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the screen, which the staff can use to copy down their original photo and the various formats for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the workforce has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

Other uses

In order to get the most out of your investment, you have the following options:

The need for investment

The investment for purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
