The mission goal
The staff in your company have the option of photographing and/or updating the personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the dining room or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on the spot.
You give your teams the chance to identify themselves at any time to 100% with their own employee photo.
The personal photos are automatically optimized to the best format, freed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.
A suggested solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to the photo booth, and see the operating instructions for the necessary actions on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data is simply read in from the employee ID card. The data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the employee profile.
After photographing the employee picture, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio defined by you (eg square for Active Directory). The file name is used to compare the saved photo with the in-house employee data record. We would be happy to help your IT department specify the interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in different forms.

Of course, each file can also be “personalized” with company logos and/or the name and position of the employee will be included in the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the workforce to get their photo digitally.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to load their original recording and the various formats for the various target systems. - Download from an offline gallery via QR code
The photobooth provides its own WLAN which the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which the workforce can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Enter the email address at the end of the photo sequence.
The captured photo is sent directly to the employee's email inbox.
Other deployment options
To get the most out of your investment, you have the following options:
- Recordings of groups of visitors, for example after a presentation
- Recording of biometric passport photos and ID photos

- Use at trade fairs to produce personalized “flyers”

The need for investment
The investment for the purchase of a photobooth adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
Customer ratings
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
