What should be achieved?
The field staff in your company are given the opportunity to photograph and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the casino or company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that no extra personnel is needed on site.
You give your employees the option to fully identify themselves at any time with their personal employee photo.
The personal photos can be cut to the optimal format by machine, removed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photobooth in a similar way to a passport photo machine and read the instructions for the necessary actions on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read immediately from the employee ID card. The employee data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the recording.
After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a specified location on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the file. We would be happy to help your IT department clarify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place synchronously in several dimensions.
So you always have the best photo for
XING, Outlook, Facebook, the CRM system, WhatsApp & Co, Instagram, Twitter
etc. lying ready.
Logically, each file can also be “personalized” with company logos and/or the employee's name and position can appear directly on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the sales representative to get his picture as a file.
- Enter the e-mail address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's email address. - Download from an online gallery
At the end of the photo sequence, a code is shown on the touchscreen or printed out, which the sales representative can use to download his original photo and the different sizes for the different target systems. - Download from an offline gallery via QR code
The Photo Box provides a private WLAN to which the sales representative has to dial.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the sales representative can save his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
Alternative deployment options
In order to take full advantage of the purchase, you have the following possible uses:

The need for investment
The investment for the purchase of a photo booth perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
