What should be achieved?

The staff in your company get the opportunity to photograph their own employee photo and/or update it at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your staff the opportunity to identify themselves to 100% at any time with their personal employee photo.

The staff photos are automatically adapted to the appropriate format, freed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in a similar way to the passport photo machine and see the instructions for the necessary actions on the monitor.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the employee ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a sharing option for internal/external use of the recording.

After photographing the employee picture, the background of the picture can be automatically exchanged for one or various backgrounds specified by you. The head of each photo is also determined, scaled to a specified size and placed in a defined position on the final image.

The image is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the name of the file. We would be happy to support your IT department in determining the import interface.

As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can be done synchronously in different sizes.
So you always have the right photo for
Twitter, Outlook, Instagram, WhatsApp & Co, LinkedIn, the CRM system, XING
etc. within easy reach.

Of course, each file can also be “personalized” with the company logo and/or the name and position of the employee will appear directly on the image.

How does the employee get the photo?

So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the staff to get their picture digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is shown on the screen or printed out, which the staff can use to copy their original photo and the different sizes for the various target systems.
2. Enter the e-mail address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.
3. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN which the workforce has to dial into.
   At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery where employees can load their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Further deployment options

In order to get the most out of your investment, you have the following options:

• Use at staff parties (summer party, Christmas party ...}
• Photo attraction at customer events & congresses
• Pictures of groups of visitors, e.g. after a tour of the company
• Creation of biometric passport photos and ID photos
• Use at trade fairs to create personalized "flyers"

The need for investment

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
