The use of a photo box for employee photos

The employees in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your workforce the option to identify themselves around the clock to 100% with their individual employee photo.

The personal photos can be independently optimized to the optimal format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.

Our proposed solution

You position a photo booth optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photobooth in the same way as with the passport photo machine and see the operating instructions for the necessary steps on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a confirmation option for internal/external use of the employee portrait can also be set up.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned at a specified location on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the picture taken with the in-house employee data record. We would be happy to support your IT department in defining the interface.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in parallel in different dimensions.

Of course, each file can also be “branded” with the company logo and/or the name and position of the employee can be directly visible on the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employees to choose to get their picture as a file.

1. Download from an offline gallery via QR code
   The Photo Box provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download his original photo and the different versions for the various target systems.
3. Entry of the email address at the end of the photo sequence.
   The captured photo is then immediately sent to the employee's mailbox.

Alternative uses

In order to make the best possible use of the purchase, you have the following options:

• Recording of biometric passport photos and ID photos
• Employee photos (as explained above)
• Photo attraction at customer events & meetings
• Use at company parties (summer party, Christmas party ...}
• Use at trade fairs to produce personalized “flyers”
• Photos of groups of visitors, for example after a presentation

The need for investment

The price for purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and is worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
