What should be achieved?

The staff in your company get the chance to photograph and/or update the personal employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that extra employees are not needed on the spot.
You give your staff the opportunity to identify themselves with 100% at any time with their own employee photo.

The personal photos can be automatically adapted to the ideal format, removed from annoying elements in the background and optionally saved in different shapes and aspect ratios.

One possible solution

You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in a similar way to the photo booth and see the instructions for the necessary actions on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the employee ID card. The data recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a sharing option for internal / external use of the photo.

After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned in a specified position on the final image.

The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved portrait and the in-house employee data record via the name of the picture. We would be happy to support your IT department in clarifying the import interface.

A biometric check and a cut to a biometric ID photo are available as an option.
The image output can happen in different sizes at the same time.

Of course, each file can also be "branded" with company logos and/or the designation and position of the employee can be immediately visible on the image.

How does the employee get the picture?

So that not only the CRM system or the ActiveDirectory get the new photos, the staff can choose between three different ways to get their photo as a file.

1. Download via QR code from an offline gallery
   The photobooth provides a private WLAN that the staff has to dial into.
   At the end of the sequence, a QR code will appear on the screen. The QR code leads to the offline gallery where staff can copy their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download the original recording and the various formats for the various target systems.
3. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is sent directly to the employee's mailbox.

Additional deployment options

To get the most out of your investment, you have the following options:

The need for investment

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
