The mission goal

The staff in your company have the option of photographing and/or updating their own employee photo at a fixed location or at a rotating location (e.g. in the casino or company canteen or HR department).
Crucially, this is accomplished through a self-service process, eliminating the need for extra on-site human resources.
You give your employees the chance to always fully identify themselves with their own employee photo.

The staff photos can be independently adapted to the appropriate format, removed from disturbing elements in the background and optionally saved in many sizes and aspect ratios.

Our proposed solution

You position a photobox set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, as with the passport photo machine, and see the instructions for the necessary actions on the touchscreen.

The monitor serves as a touch screen and as an input terminal for the necessary information, e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can simply be read from the employee ID card. The data recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can be set up with a release option for internal / external use of the employee profile.

Following the recording of the employee picture, the background of the recording can be automatically exchanged for one or various backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and placed in a specified location on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the saved photo with the in-house employee data record. We would be happy to help your IT department specify the interface.

A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in various dimensions at the same time.
So you always have the ideal photo for
Twitter, LinkedIn, Instagram, XING, Outlook
etc. ready.

Of course, each file can also be “personalized” with a company logo and/or the name and position of the employee can be directly visible on the image.

How do the staff get their picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the staff to choose to receive their photo digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the staff can use to copy their original photo and the various formats for the various target systems.
2. Download from an offline gallery via QR code
   The photobox provides its own WLAN which the staff has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Enter the e-mail address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's inbox.

Additional uses

In order to get the most out of your investment, you have the following possible uses:

• Recordings of groups of visitors, e.g. after a lecture
• Recording of biometric passport photos and ID photos
• Use at trade fairs to issue personalized “flyers”
• Photo attraction at customer events & meetings
• Employee photos (as described above)

The need for investment

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is retained.
