The use of a photo box for employee photos

The workforce in your company has the option of taking photos of their own employees and / or bringing them up to date at a fixed or periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this is done in the form of a self-service process and that you do not need additional staff on site.
This gives your workforce the option to always fully identify themselves with their personal employee photo.

The staff photos are automatically adapted to the appropriate format, removed from disruptive elements in the background and optionally saved in certain dimensions and aspect ratios.

A suggested solution

You can place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees will sit in front of the photo box, similar to the passport photo machine, and read the instructions for the necessary actions on the screen.

The screen serves as a touch screen in parallel as an input terminal for the necessary information such as B. Employee ID, name, surname and / or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the company ID card. The information recorded in this way then becomes a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the employee profile.

After the photo of the employee picture has been taken, the background of the picture can be automatically exchanged for one or more of the backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the recorded portrait and the internal employee data record. We would be happy to support your IT department in defining the connection.

A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can take place in parallel in several formats.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee can be immediately visible on the picture.

How does the employee get his photo?

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed out on the screen, which the staff can use to download their original photo and the various formats for the different target systems.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the workforce has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where the staff can download their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   The photo taken is then sent directly to the employee's email inbox.
