The mission goal
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that extra employees are not needed on the spot.
This gives your workforce the option of fully identifying themselves around the clock with their individual employee photo.
The personal photos can be automatically cut to the right format, removed from annoying elements in the background and saved in a number of dimensions and aspect ratios if desired.
One possible solution
You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and read the instructions for the necessary actions on the screen, similar to a passport photo machine.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the employee ID card. The information recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the photo can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or different backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and placed in a specified location on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the saved portrait with the in-house employee data set. We would be happy to help your IT department specify the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place synchronously in different formats.

etc. within easy reach.
Of course, each file can also be “personalized” with logos and/or the name and position of the employee can be directly visible on the image.

How does the employee get his picture?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new recordings, there are three different ways for employees to get their photo as a file.
- Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download the original recording and the various versions for the different target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which employees can save their photos. In contrast to the online gallery, this way is only possible in the immediate vicinity of the photo box.
Alternative deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Photo attraction at customer events & congresses
- Employee photos (as explained above)
- Creation of biometric passport photos and ID photos
- Use at employee parties (summer party, Christmas party ...}
- Photos of groups of visitors, for example after a presentation
- Use at trade fairs to produce personalized “flyers”
The need for investment
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
