The mission goal
The field staff in your company are given the opportunity to photograph and/or update the personal employee photo at a fixed location or at rotating locations (e.g. in the casino or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your staff the chance to always fully identify themselves with their personal employee photo.
The staff photos are automatically optimized to the appropriate format, freed from annoying elements in the background and optionally saved in many sizes and aspect ratios.
Our proposed solution
You position a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and see the operating instructions for the necessary actions on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data can be read directly from the business card. The data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be displayed.
After the employee picture has been photographed, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the stored portrait and the internal employee data record via the name of the picture. We would be happy to help your IT department specify the interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place at the same time in various dimensions.

Of course, each file can also be “branded” using the company logo and/or the name and position of the employee will be immediately visible on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to get his photo digitally.
- Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The Photobox provides its own WLAN that the field service employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the field worker can use to download his original recording and the different sizes for the various target systems.

The cost frame
The price for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is adopted immediately.
