What should be achieved?
The staff in your company have the opportunity to photograph and/or update the personal employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your staff the chance to identify themselves completely around the clock with their personal employee photo.
The staff photos are automatically cut to the optimal format, removed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
A suggested solution
You position a photo box set up for employee photos in your company (e.g. in the human resources department, at the ID office or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box in a similar way to the passport photo machine and see the instructions for the necessary steps on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data can be read directly from the employee ID card. The employee data collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the employee report can be set up.
After photographing the employee portrait, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed at a defined point on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in clarifying the import interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place synchronously in various forms.

Of course, each file can also be “branded” with the company logo and/or the employee's name and position can be immediately visible on the image.

How does the staff get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to choose to get their photo digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the staff can use to download the original recording and the various versions for the various target systems. - Download via QR code from an offline gallery
The photobox provides its own WLAN which the staff has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which staff can save their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
The captured photo is then immediately sent to the employee's e-mail address.

The need for investment
The investment for the purchase of such a perfected photo booth starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.
