The use of a photo box for employee photos
The workforce in your company is given the opportunity to create and / or update individual employee photos at a fixed location or at a location that changes regularly (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that no extra staff is needed on site.
You give your teams the option to always fully identify themselves with their individual employee photo.
The staff photos can be automatically optimized to the ideal format, freed from annoying elements in the background and optionally saved in certain dimensions and aspect ratios.
Our proposed solution
You can position a photo booth that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to the passport photo machine, and see the instructions for the necessary actions on the touchscreen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the company ID card. The information collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the photo can also be displayed.
Following the recording of the employee portrait, the background of the recording can automatically be exchanged for one or more background settings you specified. The head is also determined for each photo, adjusted to a specified size and positioned on the final image at a specified position.
The recording is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the photo taken and the in-house employee data record. We would be happy to support your IT department in determining the import interface.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place synchronously in various formats.

Of course, each file can also be “personalized” with a company logo and / or the name and position of the employee are immediately visible on the picture.

How does the employee get their photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the workforce to get their picture digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the screen, which the staff can use to load their original photo and the various sizes for the various target systems. - Download from an offline gallery via QR code
The photobooth provides a private WLAN which the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where the staff can download their pictures. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
The captured photo is immediately sent to the employee's mailbox.
Alternative deployment options
In order to get the most out of your investment, you have the following options:

The need for investment
The investment for purchasing such a customized photo booth starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
