The mission goal
The employees in your company get the opportunity to create and/or update their own employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the opportunity to always fully identify themselves with their own employee photo.
The personal photos are automatically cut to the appropriate format, freed from disturbing elements in the background and optionally saved in certain dimensions and aspect ratios.
Our proposed solution
You can position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary actions on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The data collected in this way is later part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a specified location on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). The file name is used to compare the photograph taken with the internal employee data record. We would be happy to support your IT department in specifying the import interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in different forms at the same time.

Of course, each file can also be “branded” with the company logo and/or the employee's name and position can be immediately visible on the image.

How does the photographed person get the photo?
To ensure that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for employees to receive their photo as a file.
- Download from an online gallery
At the end of the photo sequence, a code is shown on the screen or printed out, which the employee can use to copy his original photo and the various sizes for the different target systems. - Download via QR code from an offline gallery
The Photobox provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which employees can load their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email inbox.
Other deployment options
In order to make the best possible use of the purchase, you have the following options:

The cost frame
The price for purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
