What should be achieved?
The field staff in your company have the opportunity to photograph and/or update the personal employee photo at a fixed location or at rotating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the opportunity to always identify themselves to 100% with their personal employee photo.
The staff photos can be automatically adjusted to the optimal format, removed from disturbing elements in the background and optionally saved in many dimensions and aspect ratios.
A suggested solution
You position a photo booth optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and read the instructions for the necessary steps on the screen.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can simply be read from the company ID card. The information recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.
After the employee portrait has been photographed, the background of the image can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and positioned at a defined position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to help your IT department clarify the import interface.
A biometric check and a cut to a biometric ID photo are available as options.
The image output can take place simultaneously in different formats.
So you always have the right photo for
the CRM system, Outlook, Facebook, WhatsApp & Co, XING, Twitter
etc. are available.
Logically, each file can also be “branded” using the company logo and/or the employee's name and position can appear directly on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to get his photo digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the sales representative can use to download his original recording and the various versions for the various target systems. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's inbox. - Download via QR code from an offline gallery
The photobooth provides its own WLAN which the sales representative must dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the field worker can copy his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Other possible uses
To get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of a photobooth optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the possibility of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
