The mission goal
The employees in your company have the opportunity to create and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your workforce the opportunity to identify themselves to 100% with their own employee photo.
The personal photos can be independently optimized to the right format, removed from disturbing elements in the background and, if desired, saved in certain dimensions and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photobooth in a similar way to a passport photo machine and read the instructions for the necessary steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is simply read in from the employee ID card. The data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and positioned at a specified location on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the recorded image and the in-house employee data record via the file name. We would be happy to support your IT department in specifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in many sizes at the same time.
So you always have the right photo for
LinkedIn, Instagram, Facebook, the CRM system, XING, Twitter
etc. are available.
Of course, each file can also be “branded” with company logos and/or the employee's name and position can be directly visible on the image.

How did the staff come to the picture?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new images, there are three different ways for employees to receive their image as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code will appear on the screen. The QR code leads to the offline gallery where employees can save their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Enter the e-mail address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's email inbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the various formats for the various target systems.
Further deployment options
In order to get the most out of your investment, you have the following options:

The cost frame
The investment for the purchase of such a perfected photo box starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
