The use of a photo box for employee photos
The employees in your company are given the opportunity to photograph and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your workforce the chance to identify themselves to 100% at any time with their individual employee photo.
The personal photos are automatically optimized to the ideal format, freed from disturbing elements in the background and optionally saved in many shapes and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, analogous to a passport photo machine, and see the instructions for the necessary actions on the monitor.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Personnel number, first name, family name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the image can also be displayed.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or various backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and positioned in a defined position on the final image.
The recording is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to help your IT department define the import interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place in many forms at the same time.
So you always have the ideal photo for

Of course, each file can also be “personalized” with the help of the logo and/or the name and position of the employee will appear directly on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to get his picture as a file.
- Enter the email address at the end of the photo sequence.
The photo taken is sent immediately to the employee's email inbox. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download his original recording and the different sizes for the various target systems. - Download via QR code from an offline gallery
The Photo Box provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code will appear on the screen. This QR code leads to an offline gallery where the employee can copy his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

The cost frame
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
