The mission goal

The employees in your company are given the opportunity to photograph and/or update their personal employee photo at a fixed location or at a rotating location (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the chance to identify themselves to 100% at any time with their individual employee photo.

The staff photos are automatically adapted to the appropriate format, removed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.

One possible solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees will stand in front of the photobooth in the same way as with a passport photo machine and see the operating instructions for the necessary steps on the display.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Personnel number, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data can simply be read from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can be displayed with a confirmation option for internal / external use of the recording.

After photographing the employee portrait, the background of the photo can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.

The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the portrait taken with the internal employee data record. We would be happy to support your IT department in specifying the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in different dimensions at the same time.
So you always have the best photo for
Instagram, XING, the CRM system, Facebook, Twitter, WhatsApp & Co
etc. at hand.

Of course, each file can also be "branded" with company logos and/or the employee's name and position can be immediately included in the image.

How does the photographed person get the picture?

So that the CRM system or the ActiveDirectory do not alone get the new images, there are three different ways for employees to get their image as a file.

1. Download from an offline gallery via QR code
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code will appear on the screen. The QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Enter the e-mail address at the end of the photo sequence.
   In this case, the photo taken will be sent immediately to the employee's email address.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to load their original photo and the various versions for the different target systems.

Additional uses

In order to make the best possible use of the acquisition, you have the following options:

• Employee photos (as already explained)
• Use at trade fairs to issue personalized “flyers”
• Production of biometric passport photos and ID photos
• Photos of groups of visitors, e.g. after a tour of the company
• Use at company celebrations (summer party, Christmas party ...}
• Photo attraction at customer events & meetings

The need for investment

The cost of purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
