The mission goal
The employees in your company are given the opportunity to create and/or update their own employee photo at a fixed or periodically changing location (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to always fully identify themselves with their individual employee photo.
The personal photos can be automatically optimized to the appropriate format, freed from disturbing elements in the background and optionally saved in many dimensions and aspect ratios.
A suggested solution
You can position a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to the passport photo machine and see the operating instructions for the necessary actions on the touchscreen.
The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read immediately from the employee ID card. The information recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal/external use of the photo.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or many backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed in a defined position on the final image.
The image is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the photographed portrait and the internal employee data record via the name of the file. We would be happy to help your IT department specify the import interface.
A biometric check and a cut to a biometric ID photo are available as an option.
The image output can be done synchronously in different sizes.
So you always have the best photo for
the CRM system, Outlook, LinkedIn, Instagram, Twitter
etc. are available.
Of course, each file can also be “branded” with company logos and/or the name and position of the employee will be immediately included in the image.

How does the employee get his picture?
To ensure that the CRM system or Active Directory are not the only ones to get hold of the new photos, there are three different ways for employees to receive their photos digitally.
- Enter the e-mail address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email inbox. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download the original recording and the various versions for the various target systems. - Download from an offline gallery via QR code
The Photo Box provides a private WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery from which employees can download their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
Other deployment options
In order to make the best possible use of your investment, you have the following options:
- Photo attraction at customer events & meetings
- Photos of groups of visitors, e.g. after a tour

- Production of biometric passport photos and ID photos
- Use at trade fairs to issue personalized “flyers”
The need for investment
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.

Since the system was implemented in 2019, two photo boxes have been set up permanently in Germany and in Zurich.
