What should be achieved?

The employees in your company have the option of creating and/or updating their personal employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the opportunity to identify themselves to 100% with their individual employee photo.

The personal photos are automatically adjusted to the best format, removed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.

A suggested solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary steps on the screen.

The screen serves as a touch screen in parallel as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the image can also be displayed.

Following the photograph of the employee picture, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a specified position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in clarifying the connection.

A biometric check and a cut to a biometric ID photo are available as an option.
The image output can happen at the same time in different sizes.

Of course, each file can also be "branded" using the company logo and/or the designation and position of the employee can be directly visible on the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the company employees to choose from to get their picture digitally as well.

  1. Download from an online gallery
    At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download his original recording and the various sizes for the various target systems.
  2. Enter the e-mail address at the end of the photo sequence.
    The captured photo is then immediately sent to the employee's mailbox.
  3. Download via QR code from an offline gallery
    The photo box provides a private WLAN which the company employees must dial into.
    At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which employees can load their pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

Further deployment options

To get the most out of your investment, you have the following options:

The cost frame

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
