The mission goal

The field staff in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your workforce the chance to identify themselves to 100% around the clock with their individual employee photo.

The staff photos can be independently adapted to the appropriate format, freed from annoying elements in the background and, if desired, saved in several formats and aspect ratios.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and see the operating instructions for the necessary steps on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can simply be read from the company ID card. The data recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the image.

After photographing the employee portrait, the background of the image can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a specified position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the file. We would be happy to support your IT department in determining the interface.

A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can take place in different dimensions at the same time.
So you always have the best photo for
Facebook, XING, Twitter, WhatsApp & Co, Instagram, Outlook, LinkedIn, the CRM system
etc. at hand.

Of course, each file can also be “branded” with company logos and/or the employee's name and position can appear directly on the image.

How do the staff get their picture?

So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the sales representative to receive his photo as a file.

1. Download from an online gallery
   At the end of the sequence, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original recording and the different formats for the various target systems.
2. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email inbox.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the sales representative has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the sales representative can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Alternative deployment options

In order to make the best possible use of the acquisition, you have the following options:

• Photo attraction at customer events & congresses
• Recording of biometric passport photos and ID photos
• Use at trade fairs to produce personalized “flyers”
• Employee photos (as described above)
• Use at sales force parties (summer party, Christmas party ...}

The cost frame

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT, making it worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is bought directly.
