The use of a photo box for employee photos

The workforce in your company has the opportunity to create and / or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra personnel are not needed on site.
You give your employees the option to fully identify themselves at any time with their own employee photo.

The staff photos can be independently optimized to the ideal format, freed from disturbing elements in the background and optionally saved in various formats and aspect ratios.

A suggested solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, employees can stand in front of the photo box in the same way as with the passport photo machine and see the instructions for the necessary actions on the display.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. Personal identification, first name, last name and / or date of birth.
Alternatively, the photobox can also be programmed so that the data can simply be read in from the employee ID. The data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal / external use of the employee profile can also be displayed.

Following the photograph of the employee's picture, the background of the recording can be automatically replaced with one or more backrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a specified location on the final image.

The recording is saved in a size and format defined by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the saved photo and the internal employee data record. We would be happy to support your IT department in specifying the import interface.

A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place synchronously in different dimensions.

Of course, each file can also be “personalized” with company logos and / or the name and position of the employee are immediately shown on the picture.

How does the employee get the picture?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the workforce to receive their photos digitally.

1. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN that the workforce has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery in which the staff can upload their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the screen, which the staff can use to load their original photo and the various formats for the various target systems.
3. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is sent immediately to the employee's mailbox.

Alternative deployment options

In order to take full advantage of the purchase, you have the following options:

• Photo attraction at customer events & conferences

• Photos of groups of visitors, for example after a tour of the company

The need for investment

The price for purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
