What should be achieved?

The staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at a rotating location (e.g. in the dining room or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need additional staff on site.
You give your employees the chance to always fully identify themselves with their personal employee photo.

The personal photos can be automatically optimized to the ideal format, removed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.

Our proposed solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box in the same way as with the passport photo machine and see the instructions for the necessary steps on the screen.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the company ID card. The data recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be presented with a sharing option for internal/external use of the image.

After the employee photo has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved image and the in-house employee data record via the name of the file. We would be happy to help your IT department clarify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as options.
The image output can take place synchronously in different dimensions.
So you always have the right photo for
Twitter, Facebook, Outlook, XING, LinkedIn, WhatsApp & Co, the CRM system
etc. at hand.

Of course, each file can also be “branded” using the company logo and/or the name and position of the employee can be directly visible on the image.

How does the employee get his picture?

So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the staff to choose to receive their picture as a file.

1. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's e-mail inbox.
2. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN which the staff has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to download their original recording and the various versions for the various target systems.

Other possible uses

To get the most out of your investment, you have the following options:

• Recording of biometric passport photos and ID photos
• Recordings of groups of visitors, e.g. after a tour

The cost frame

The investment for the purchase of a photobooth perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
