The use of a photo box for employee photos
The employees in your company have the opportunity to create and/or update their own employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your staff the chance to identify themselves completely around the clock with their own employee photo.
The personal photos are automatically cut to the optimal format, irritating elements are removed from the background and, if desired, saved in several shapes and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth like in a photo booth and read the operating instructions for the necessary steps on the screen.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the image can also be set up.
After the employee picture has been taken, the background of the photo can be automatically exchanged for one or more backrounds specified by you. The head of each photo is also located, scaled to a specified size and positioned on the final image at a specified location.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the photo taken with the internal employee data record. We would be happy to support your IT department in defining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in many forms at the same time.
So you always have the best photo for

Of course, each file can also be "branded" with a company logo and/or the name and position of the employee can be included in the image.

How does the photographed person get his picture?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new images, there are three different ways for employees to get their photo as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to copy his original recording and the different sizes for the different target systems. - Enter the email address at the end of the photo sequence.
The photo taken is then immediately sent to the employee's email address. - Download from an offline gallery via QR code
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the recording, a QR code will appear on the screen. The QR code leads to an offline gallery where employees can copy their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
Alternative uses
In order to make the best possible use of the acquisition, you have the following options:
- Employee photos (as already explained)
- Use at trade fairs to produce personalized “flyers”
- Photos of groups of visitors, e.g. after a tour
- Creation of biometric passport photos and ID photos
- Photo attraction at customer events & meetings
The need for investment
The price for purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees.
Of course, there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over directly.
