The use of a photo box for employee photos

The field service employees in your company have the chance to photograph and / or update their own employee photo at a fixed or alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your employees the chance to identify themselves to 100% around the clock with their own employee photo.

The staff photos are automatically adapted to the appropriate format, removed from annoying elements in the background and optionally saved in some dimensions and aspect ratios.

One possible solution

You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, similar to the passport photo machine, and read the instructions for the necessary steps on the touchscreen.

The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be configured so that the data can be read directly from the employee ID. The information collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the recording.

After the employee picture has been taken, the background of the picture can be automatically exchanged for one or many of the backgrounds you have specified. The head of each photo is also analyzed, scaled to a specified size and placed on the final image at a specified location.

The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The file name is used to compare the photographed image and the internal employee data record. We would be happy to support your IT department in specifying the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place in parallel in various dimensions.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee will appear directly on the picture.

How does the employee get the photo?

So that the CRM system or the ActiveDirectory alone do not benefit from the new photos, the sales representative can choose between three different ways to get his photo as a file.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed out on the screen, which the sales representative can use to download his or her original recording as well as the various formats for the various target systems.
2. Enter the e-mail address at the end of the photo sequence.
   In this case, the captured photo is sent directly to the employee's mailbox.
3. Download from an offline gallery via QR code
   The photo box provides a private WLAN that the sales representative has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery in which the sales representative can copy down his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box.

Other deployment options

In order to get the most out of your investment, you have the following options:

The need for investment

The investment for the acquisition of such a perfected photo box starts at around 4,400 € plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
