What should be achieved?
The staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional employees on site.
You give your staff the opportunity to identify themselves with 100% at any time with their own employee photo.
The personal photos are automatically optimized to the appropriate format, freed from disturbing elements in the background and optionally saved in several sizes and aspect ratios.
A suggested solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and see the operating instructions for the necessary actions on the monitor, as with the passport photo machine.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is simply read in from the employee ID card. The information collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.
Following the recording of the employee picture, the background of the recording can be automatically exchanged for one or many backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned at a defined position on the final image.
The recording is saved in a size and format you specify (eg square for Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the name of the file. We would be happy to support your IT department in clarifying the interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in different dimensions at the same time.

Of course, each file can also be “branded” with the help of the logo and/or the employee's name and position can be immediately visible on the image.

How does the employee get the photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new recordings, there are three different ways for staff to get their picture as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the various formats for the various target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the staff can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox.

The cost frame
The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
