What should be achieved?
The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that no extra staff is needed on the spot.
You give your workforce the option to always fully identify themselves with their individual employee photo.
The personal photos can be automatically cut to the optimal format, freed from disturbing elements in the background and, if desired, saved in different sizes and aspect ratios.
Our proposed solution
You position a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in the same way as with a passport photo machine and see the operating instructions for the necessary steps on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the required data such as B. Personnel number, first name, family name and / or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read immediately from the employee ID card. The data collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the image can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in clarifying the import interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in different sizes.
So you always have the right photo for

Of course, each file can also be "branded" with the company logo and/or the name and position of the employee can be immediately included in the image.

How did the staff come to the picture?
To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to get his photo digitally.

The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery where employees can download their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touch screen, which the employee can use to load his original photo and the various formats for the various target systems.
Additional deployment options
In order to make the best possible use of the acquisition, you have the following options:

The cost frame
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
