The mission goal
The staff in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need extra staff on site.
This gives your workforce the option to always fully identify themselves with their personal employee photo.
The staff photos can be independently cut to the best format, freed from annoying elements in the background and optionally saved in different shapes and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and see the instructions for the necessary actions on the touchscreen, similar to the photo booth.
The monitor serves as a touch screen at the same time as an input terminal for the required data, e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is simply read in from the employee ID card. The employee data collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a sharing option for internal/external use of the image.
After the employee picture has been photographed, the background of the photo can be automatically exchanged for one or many backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and positioned in a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved portrait and the in-house employee data record via the name of the file. We would be happy to support your IT department in defining the interface.
A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place simultaneously in several formats.

Of course, each file can also be “branded” with a company logo and/or the name and position of the employee can appear directly on the image.

How does the photographed person get their photo?
So that the CRM system or the Active Directory are not the only ones to get hold of the new photos, there are three different ways for the workforce to choose from to get their picture digitally as well.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the workforce can use to download the original recording and the various versions for the various target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the workforce has to dial into.
At the end of the sequence, a QR code will appear on the screen. That QR code leads to an offline gallery where employees can save their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's inbox.

The cost frame
The cost of purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the chance to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is purchased immediately.
