The use of a photo box for employee photos
The employees in your company have the opportunity to create and / or update their individual employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the opportunity to identify themselves completely around the clock with their individual employee photo.
The staff photos are automatically optimized to the best format, freed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in the same way as with the passport photo machine and see the instructions for the necessary actions on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the employee ID. The employee data recorded in this way are then a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the photo.
After the employee portrait has been taken, the background of the photo can automatically be exchanged for one or more backgrounds you have specified. The head is also analyzed for each photo, adjusted to a specified size and placed in a specified location on the final image.
The photo is saved in a size and aspect ratio that you have specified (e.g. square for the ActiveDirectory). The file name is used to compare the saved photo and the in-house employee data record. We would be happy to support your IT department in defining the import interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in different formats.

Of course, each file can also be “branded” with logos and / or the name and position of the employee will be directly visible on the picture.

How did the staff get the photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for employees to get their photos digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the screen, which the employee can use to download his or her original photo and the various versions for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email address. - Download via QR code from an offline gallery
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery in which the employee can copy his photos. In contrast to the online gallery, this path only goes in the direct vicinity of the photo booth.

Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
