The mission goal
The staff in your company are given the opportunity to photograph and/or update their own employee photo at a fixed location or at rotating locations (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
This gives your workforce the option of fully identifying themselves around the clock with their personal employee photo.
The personal photos are automatically adjusted to the appropriate format, removed from disturbing elements in the background and optionally saved in many dimensions and aspect ratios.
The solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box and read the operating instructions for the necessary actions on the touchscreen, just like with a passport photo machine.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the employee ID card. The information collected in this way is later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the recording can also be displayed.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison between the stored photo and the internal employee data record takes place via the file name. We would be happy to help your IT department specify the connection.
A biometric check and a cut to a biometric ID photo are available as an option.
The image output can take place in parallel in some formats.

How does the employee get the photo?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the staff to receive their photo as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the workforce has to dial into.
At the end of the sequence, a QR code will appear on the screen. The QR code leads to an offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the staff can use to copy the original recording and the various formats for the different target systems.
Additional deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Employee photos (as explained above)
- Recordings of groups of visitors, e.g. after a tour
- Use at staff parties (summer party, Christmas party ...}
- Creation of biometric passport photos and ID photos

The cost frame
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is bought directly.
