What should be achieved?
The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at periodically changing locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your employees the chance to identify themselves to 100% around the clock with their own employee photo.
The personal photos are automatically adapted to the best possible format, freed from disturbing elements in the background and, if desired, saved in different dimensions and aspect ratios.
A suggested solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to the photo booth, and read the operating instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee identifier, name, surname and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data is simply read in from the company ID card. The data collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned in a defined position on the final image.
The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison between the recorded image and the internal employee data record takes place via the file name. We would be happy to help your IT department specify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in different dimensions at the same time.

Of course, each file can also be “branded” with company logos and/or the employee's name and position will be immediately included in the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo digitally.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the employee can save his recordings. In contrast to the online gallery, this route is only possible in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to load his original photo and the different sizes for the different target systems. - Enter the e-mail address at the end of the photo sequence.
The photo taken is sent directly to the employee's e-mail inbox.
Other deployment options
To get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
