The use of a photo box for employee photos

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the opportunity to identify themselves to 100% at any time with their own employee photo.

The personal photos are automatically optimized to the optimal format, interfering elements are removed from the background and, if desired, saved in a number of formats and aspect ratios.

One possible solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary actions on the display.

The screen serves as a touch screen in parallel as an input terminal for the necessary information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the employee ID card. The employee data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a sharing option for internal/external use of the image.

After the employee picture has been taken, the background of the photo can be automatically exchanged for one or different backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a defined position on the final image.

The image is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the image. We would be happy to support your IT department in clarifying the interface.

A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can happen in many dimensions at the same time.

etc. within easy reach.

Of course, each file can also be “personalized” with the help of the logo and/or the name and position of the employee can appear directly on the image.

How does the employee get his picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for employees to get their picture digitally.

1. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the various formats for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.

The need for investment

The price for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
