The mission goal
The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your employees the opportunity to always identify themselves to 100% with their own employee photo.
The personal photos are automatically optimized to the best possible format, freed from annoying elements in the background and, if desired, saved in different shapes and aspect ratios.
A suggested solution
You position a photo booth that is perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box in a similar way to the passport photo machine and see the operating instructions for the necessary actions on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the employee ID card. The information recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a sharing option for internal/external use of the employee portrait.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in determining the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra option.
The image output can take place in various forms at the same time.

Of course, each file can also be “personalized” with the company logo and/or the employee's name and position will appear directly on the image.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose from to also receive their picture digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the various formats for the different target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the employee can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Enter the email address at the end of the photo sequence.
In doing so, the captured photo is immediately sent to the employee's mailbox.
Other deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Photo attraction at customer events & conferences
- Use at employee parties (summer party, Christmas party ...}
- Employee photos (as explained above)
- Use at trade fairs to create personalized “flyers”
- Pictures of groups of visitors, e.g. after a lecture
The cost frame
The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is bought directly.
