The use of a photo box for employee photos
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the casino or the company canteen or human resources department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your teams the option to always identify themselves to 100% with their personal employee photo.
The personal photos are automatically cut to the best possible format, removed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
A suggested solution
You position a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box, similar to the photo booth, and see the operating instructions for the necessary steps on the touchscreen.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel number, first name, surname and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data is immediately read from the employee ID card. The information recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a release option for internal / external use of the employee profile.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio you describe (eg square for Active Directory). A comparison between the stored portrait and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in determining the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra option.
The image output can take place in various forms at the same time.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee can appear directly on the image.

How does the staff get their photo?
So that not only the CRM system or the Active Directory can benefit from the new pictures, there are three different ways for the employee to get his picture as a file.
- Download via QR code from an offline gallery
The photobox provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which the employee can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
The photo taken is sent directly to the employee's email address. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to load his original photo and the different formats for the various target systems.

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
