The mission goal

The staff in your company have the opportunity to create and / or update their personal employee photo at a fixed or periodically alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the chance to always identify 100% with their own employee photo.

The staff photos can be automatically optimized to the appropriate format, removed from disruptive elements in the background and optionally saved in different dimensions and aspect ratios.

One possible solution

You can place a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo booth, similar to the passport photo machine, and read the instructions for the necessary actions on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a confirmation option for internal / external use of the image.

After the photo of the employee's picture has been taken, the background of the photo can be automatically exchanged for one or many of the backgrounds you have specified. The head is also found for each photo, adjusted to a specified size and positioned on the final image at a defined point.

The photo is saved in a size and aspect ratio determined by you (e.g. square for the ActiveDirectory). A comparison between the saved portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in determining the interface.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place synchronously in different formats.

Of course, each file can also be “personalized” by means of a company logo and / or the name and position of the employee can appear directly on the picture.

How did the staff get the photo?

So that not only the CRM system or the ActiveDirectory get the new pictures, there are three different ways for the staff to choose to receive their photo as a file.

1. Entry of the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the screen, which the staff can use to download the original photo and the various versions for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the staff has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery in which the staff can load their pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

The cost frame

The cost of buying a photo booth adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
