What should be achieved?
The employees in your company are given the opportunity to photograph and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the option to always fully identify themselves with their individual employee photo.
The personal photos can be automatically adjusted to the ideal format, removed from disturbing elements in the background and, if desired, saved in various dimensions and aspect ratios.
One possible solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box in a similar way to the passport photo machine and see the instructions for the necessary steps on the touchscreen.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data is read directly from the employee ID card. The employee data collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal / external use of the recording.
After the employee portrait has been photographed, the background of the image can be automatically replaced with one or several backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the file name. We would be happy to help your IT department define the connection.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place synchronously in different dimensions.
So you always have the right photo for
the CRM system, Twitter, Instagram, Outlook, XING, Facebook, LinkedIn
etc. ready.
Of course, each file can also be "personalized" with company logos and/or the name and position of the employee will appear directly on the image.

How does the staff get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose to get his picture as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to load his original photo and the different sizes for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download from an offline gallery via QR code
The Photo Box provides a private WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
