What should be achieved?
The staff in your company have the opportunity to photograph and/or update the personal employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that extra employees are not needed on site.
You give your teams the option to always fully identify themselves with their individual employee photo.
The personal photos can be automatically optimized to the best format, removed from annoying elements in the background and optionally saved in some dimensions and aspect ratios.
A suggested solution
You position a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box, similar to the photo booth, and see the instructions for the necessary steps on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The employee data recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a release option for internal/external use of the recording.
After the employee picture has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and positioned at a specified location on the final image.
The recording is saved in a size and format defined by you (eg square for the Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the image. We would be happy to support your IT department in clarifying the import interface.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can happen to many extents at the same time.
So you always have the right photo for
WhatsApp & Co, Instagram, XING, the CRM system, Facebook, Twitter
etc. ready.
Of course, each file can also be “personalized” with the company logo and/or the name and position of the employee will be immediately included in the image.

How does the photographed person get the picture?
So that not only the CRM system or the Active Directory gets the benefit of the new pictures, there are three different ways for the staff to get their picture digitally.
- Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the staff can use to download the original recording and the different formats for the various target systems. - Download from an offline gallery via QR code
The photo box provides its own WLAN which the staff has to dial into.
At the end of the sequence, a QR code will appear on the screen. This QR code leads to the offline gallery where staff can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

To get the most out of your investment, you have the following options:

The cost frame
The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
