What should be achieved?

The employees in your company have the option of photographing and/or updating the personal employee photo at a fixed location or at rotating alternating locations (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need additional staff on site.
You give your teams the chance to identify themselves at any time to 100% with their own employee photo.

The staff photos are automatically adjusted to the optimal format, freed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.

One possible solution

You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box and read the operating instructions for the necessary steps on the monitor, just like with the photo booth.

The screen serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is immediately read from the employee ID card. The employee data collected in this way then subsequently becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the photo can also be set up.

Following the photograph of the employee picture, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a specified position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the file name. We would be happy to help your IT department clarify the interface.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image can be output in different dimensions at the same time.
So you always have the right photo for
Instagram, LinkedIn, WhatsApp & Co, the CRM system, XING, Twitter, Outlook, Facebook
etc. within easy reach.

Of course, each file can also be "branded" with a company logo and/or the name and position of the employee will be visible on the image.

How does the photographed person get the picture?

To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for employees to choose to receive their photo as a file.

1. Enter the email address at the end of the photo sequence.
   The captured photo is sent directly to the employee's mailbox.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the different formats for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. That QR code leads to the offline gallery from which employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

To get the most out of your investment, you have the following options:

The cost frame

The price for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.

Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
