What should be achieved?
The employees in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at a periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this happens in the form of a self-service process and that you do not need extra employees on site.
You give your employees the chance to always fully identify themselves with their own employee photo.
The personal photos are automatically cut to the best possible format, removed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box like in a passport photo machine and read the instructions for the necessary steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is read in immediately from the company ID card. The data recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the image.
After the photograph of the employee portrait, the background of the recording can be automatically exchanged for one or different backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a specified position on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the image. We would be happy to support your IT department in determining the interface.
A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place in many sizes at the same time.

etc. within easy reach.
Of course, each file can also be “personalized” with the help of the logo and/or the name and position of the employee will be immediately visible on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the employee to get his photo as a file.
- Entry of the email address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to copy his original recording and the various sizes for the various target systems. - Download from an offline gallery via QR code
The photo box provides a private WLAN that the employee must dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery where employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Alternative uses
To get the most out of your investment, you have the following options:
- Production of biometric passport photos and ID photos
- Use at employee parties (summer party, Christmas party ...}
- Pictures of groups of visitors, e.g. after a tour of the company

The cost frame
The cost of purchasing a photobooth perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
