The use of a photo box for employee photos
The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that extra personnel are not needed on site.
You give your employees the option to always identify themselves to 100% with their personal employee photo.
The personal photos are automatically optimized to the best possible format, freed from disturbing elements in the background and optionally saved in many formats and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo booth, similar to the photo booth, and read the instructions for the necessary actions on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the required data such as B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is simply read in from the employee ID card. The employee data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal / external use of the employee profile.
After photographing the employee portrait, the background of the image can be automatically replaced with one or many backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in defining the import interface.
A biometric check and a cut to a biometric ID photo are available as an option.
The image output can take place in parallel in several forms.
So you always have the right photo for
the CRM system, Twitter, Facebook, Outlook, WhatsApp & Co, XING, Instagram, LinkedIn
etc. at hand.
Logically, each file can also be “branded” using the logo and/or the employee's name and position can appear directly on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory can benefit from the new recordings, there are three different ways for the employee to choose from to also receive their picture as a file.
- Enter the e-mail address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download his original recording and the different versions for the different target systems. - Download via QR code from an offline gallery
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery where the employee can copy their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to make the best possible use of your investment, you have the following options:

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.

Since the system was implemented in 2019, two systems have been set up permanently in Germany and Switzerland.
