What should be achieved?
The field staff in your company are given the opportunity to photograph and/or update the personal employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to fully identify themselves at any time with their individual employee photo.
The personal photos can be automatically optimized to the best possible format, removed from annoying elements in the background and optionally saved in different shapes and aspect ratios.
A suggested solution
You place a photo booth set up for employee photos in your company (e.g. in the human resources department, at the ID office or at reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and read the instructions for the necessary steps on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data is read directly from the company ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the employee portrait can also be set up.
Following the recording of the employee picture, the background of the recording can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is determined, scaled to a specified size and placed in a specified position on the final image.
The photo is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison between the stored image and the in-house employee data record takes place via the file name. We would be happy to support your IT department in defining the interface.
As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can take place to some extent at the same time.
So you always have the right photo for
Facebook, Instagram, Twitter, LinkedIn, Outlook, the CRM system
etc. within easy reach.
Of course, each file can also be “branded” with the company logo and/or the employee's name and position can be included in the image.

How does the photographed person get the picture?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the sales representative to choose from to get his picture as a file.
- Enter the e-mail address at the end of the photo sequence.
In this case, the photo taken will be sent directly to the employee's email address. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the field worker has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which the sales representative can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the field worker can use to load his original image and the various sizes for the various target systems.
Alternative uses
To get the most out of your investment, you have the following options:
- Use at trade fairs to issue personalized “flyers”
- Employee photos (as already explained)
- Creation of biometric passport photos and ID photos
- Pictures of groups of visitors, e.g. after a presentation
- Photo attraction at customer events & meetings
- Use at sales force parties (summer party, Christmas party ...}
The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT, making it worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
