What should be achieved?
The employees in your company are given the opportunity to create and / or update their individual employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need additional personnel on site.
You give your employees the opportunity to always fully identify themselves with their individual employee photo.
The staff photos can be independently optimized to the best possible format, removed from annoying elements in the background and optionally saved in different formats and aspect ratios.
One possible solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box, similar to a passport photo machine, and read the operating instructions for the required steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, name, surname and / or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the company ID card. The employee data recorded in this way are then part of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a checkbox for internal / external use of the recording.
After the photo of the employee's picture has been taken, the background of the photo can be automatically replaced with one or more backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and format defined by you (e.g. square for the ActiveDirectory). A comparison between the saved image and the in-house employee data record takes place via the name of the image. We would be happy to support your IT department in clarifying the import interface.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can be done in several sizes at the same time.

Logically, each file can also be “branded” with a company logo and / or the name and position of the employee can be immediately visible on the picture.

How does the staff get their photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, the employee can choose between three different ways to get his picture as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the employee can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the employee can use to download the original photo and the various versions for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.

The need for investment
The cost of purchasing a photobox adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
