What should be achieved?

The field staff in your company have the option of photographing and/or updating their own employee photo at a fixed location or at rotating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this happens in the form of a self-service process and that no other employees are needed on site.
You give your employees the option to fully identify themselves at any time with their individual employee photo.

The staff photos can be automatically adjusted to the best possible format, removed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.

Our proposed solution

You can place a photo booth that is perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary actions on the touchscreen.

The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the employee ID card. The employee data recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal / external use of the employee profile can also be displayed.

After photographing the employee picture, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a defined position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved image and the internal employee data record via the file name. We would be happy to support your IT department in defining the import interface.

A biometric check and a cut to a biometric ID photo are also available.
The image output can happen synchronously in different sizes.
So you always have the best photo for
Facebook, the CRM system, Outlook, LinkedIn, Instagram, XING
etc. at hand.

Of course, each file can also be "branded" with company logos and/or the name and position of the employee can be immediately included in the picture.

How does the employee get the picture?

So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the sales representative to get his photo as a file.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN that the sales representative has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery in which the sales representative can save his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the field worker can use to load his original photo and the various sizes for the different target systems.
3. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email address.

Additional deployment options

To get the most out of your investment, you have the following options:

• Photo attraction at customer events & conferences
• Employee photos (as already explained)
• Pictures of groups of visitors, e.g. after a presentation
• Use at sales force parties (summer party, Christmas party ...}
• Creation of biometric passport photos and ID photos

The need for investment

The investment for the purchase of a photobooth perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.

Customer ratings

Since the system was introduced in 2019, two photo boxes have been set up permanently in this country and in Zurich.

The system has been very well received by employees both at WWZ AG in Zurich and at Haufe Lexware.
