The mission goal
The employees in your company have the opportunity to create and / or update their personal employee photo at a fixed or periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the chance to fully identify themselves at any time with their individual employee photo.
The staff photos can automatically be cut to the appropriate format, freed from disturbing elements in the background and, if desired, saved in different dimensions and aspect ratios.
One possible solution
You position a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There the employees can stand in front of the photo box in the same way as with a passport photo machine and see the instructions for the required steps on the touchscreen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read directly from the company ID card. The data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the recording.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or different backgrounds that you have specified. The head is also detected for each photo, scaled to a specified size and positioned on the final image at a specified position.
The image is saved in a size and format defined by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the photographed image and the internal employee data record. We would be happy to help your IT department clarify the connection.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place in parallel to some extent.

Of course, each file can also be “branded” with company logos and / or the name and position of the employee can appear directly on the picture.

How does the employee get his photo?
So that the CRM system or ActiveDirectory alone does not benefit from the new photos, there are three different ways for employees to receive their photos digitally.

The photo taken is sent immediately to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download the original photo and the different sizes for the different target systems. - Download from an offline gallery via QR code
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the employee can copy his photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the photobox.

The price for purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the chance to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
