What should be achieved?

The field staff in your company have the opportunity to photograph and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your employees the option to identify themselves completely around the clock with their individual employee photo.

The staff photos are automatically cut to the appropriate format, removed from disruptive elements in the background and optionally saved in several shapes and aspect ratios.

The solution

You place a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo booth in the same way as with a passport photo machine and see the operating instructions for the necessary actions on the monitor.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can simply be read from the company ID card. The information recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal / external use of the employee profile can also be displayed.

Following the photograph of the employee picture, the background of the picture can be automatically replaced with one or more of the background settings you have specified. The head is also determined for each photo, scaled to a specified size and placed on the final image at a specified position.

The recording is saved in a size and format that you specify (e.g. square for the ActiveDirectory). The file name is used to compare the saved image and the internal employee data record. We would be happy to support your IT department in specifying the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place simultaneously in various forms.

Of course, each file can also be “branded” with logos and / or the name and position of the employee are immediately shown on the picture.

How does the employee get his photo?

So that not only the CRM system or the ActiveDirectory can benefit from the new images, the sales representative has three different ways of receiving his photo as a file.

1. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the sales representative can use to download the original image and the different sizes for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN into which the sales representative has to dial.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery in which the sales representative can save his recordings. In contrast to the online gallery, this path only works in the direct vicinity of the photo booth.

The need for investment

The investment for purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees.
Of course there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is bought directly.
