What should be achieved?

The staff in your company have the opportunity to create and/or update the individual employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your staff the chance to identify themselves completely at any time with their individual employee photo.

The personal photos can be cut to the optimal format, freed from disturbing elements in the background and optionally saved in several sizes and aspect ratios.

The solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, as with the passport photo machine, and see the operating instructions for the necessary steps on the display.

The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be set up.

After the employee portrait has been taken, the background of the recording can be automatically replaced with one or different backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and positioned at a defined point on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the photographed image and the in-house employee data record via the name of the file. We would be happy to help your IT department specify the interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place simultaneously in different dimensions.

Of course, each file can also be “branded” with company logos and/or the name and position of the employee can be included in the image.

How does the employee get his photo?

So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the staff to receive their photo as a file.

  1. Enter the email address at the end of the photo sequence.
    The captured photo is immediately sent to the employee's email address.
  2. Download via QR code from an offline gallery
    The photobox provides a private WLAN that the staff has to dial into.
    At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where staff can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
  3. Download from an online gallery
    At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to load their original photo and the various versions for the different target systems.
