The mission goal

The staff in your company get the opportunity to create their own employee photo and/or update it at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on the spot.
You give your workforce the chance to identify themselves to 100% around the clock with their personal employee photo.

The personal photos are automatically adapted to the best format, freed from annoying elements in the background and optionally saved in a number of sizes and aspect ratios.

A suggested solution

You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, just like with the passport photo machine, and see the operating instructions for the necessary steps on the display.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can simply be read from the company ID card. The information recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal / external use of the employee profile.

After the employee picture has been taken, the background of the recording can be automatically replaced with one or various backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a specified position on the final image.

The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). The file name is used to compare the portrait taken with the in-house employee data set. We would be happy to support your IT department in determining the interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image can be output in several formats at the same time.
So you always have the ideal photo for
Instagram, Twitter, WhatsApp & Co, LinkedIn, the CRM system, XING, Facebook, Outlook
etc. at hand.

Of course, each file can also be "branded" with a company logo and/or the name and position of the employee will appear directly on the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the staff to receive their picture as a file.

1. Download from an offline gallery via QR code
   The photobooth provides a private WLAN which the staff has to dial into.
   At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery from which staff can download their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's email inbox.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the touchscreen or printed out, which the staff can use to load their original photo and the various versions for the different target systems.

Alternative deployment options

In order to make the best possible use of the acquisition, you have the following options:

• Use at staff parties (summer party, Christmas party ...}
• Use at trade fairs to create personalized "flyers"
• Photos of groups of visitors, e.g. after a guided tour
• Production of biometric passport photos and ID photos
• Employee photos (as explained above)

The need for investment

The investment for the purchase of a photobooth perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
