What should be achieved?
The employees in your company get the chance to photograph and/or update the individual employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your staff the option to identify themselves to 100% around the clock with their own employee photo.
The personal photos can be independently cut to the best format, removed from annoying elements in the background and optionally saved in some dimensions and aspect ratios.
A suggested solution
You place a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box in a similar way to a passport photo machine and see the operating instructions for the necessary steps on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the employee ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the image can also be displayed.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the file name. We would be happy to help your IT department clarify the interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in different sizes at the same time.
So you always have the best photo for
XING, Facebook, Twitter, WhatsApp & Co, the CRM system
etc. at hand.
Logically, each file can also be “personalized” with company logos and/or the employee's name and position will be directly visible on the image.

How does the photographed person get his picture?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to choose from to get his photo as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which employees can copy their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the different sizes for the various target systems. - Entry of the email address at the end of the photo sequence.
The captured photo is then sent directly to the employee's mailbox.
Other deployment options
In order to get the most out of your investment, you have the following options:

The cost frame
The cost of purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and is worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over directly.
