The mission goal

The staff in your company have the opportunity to photograph their own employee photo and / or bring it up to date at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to identify themselves at any time to 100% with their own employee photo.

The staff photos can be automatically cut to the optimal format, freed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.

The solution

You position a photo booth optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box, similar to the passport photo machine, and see the instructions for the necessary actions on the screen.

The screen serves as a touch screen in parallel as an input terminal for the necessary data such as B. ID, name, family name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can simply be read from the company ID card. The data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the photo.

Following the recording of the employee portrait, the background of the recording can be automatically replaced with one or different background settings you have specified. The head is also found for each photo, adjusted to a specified size and positioned on the final image at a specified position.

The image is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The file name is used to compare the photo taken and the internal employee data record. We would be happy to support your IT department in determining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as options.
The image output can take place synchronously in various dimensions.

Logically, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee will be directly visible on the picture.

How does the employee get the picture?

So that the CRM system or the ActiveDirectory alone does not benefit from the new recordings, there are three different ways for staff to choose from to receive their photo as a file.

  1. Download from an online gallery
    At the end of the recording, a code is displayed or printed on the screen, which the staff can use to download the original recording and the various formats for the various target systems.
  2. Entry of the email address at the end of the photo sequence.
    The captured photo is then sent to the employee's mailbox.
  3. Download via QR code from an offline gallery
    The photobooth provides its own WLAN which the staff has to dial into.
    At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery in which the staff can download their photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the Photo Box.

The cost frame

The investment for the acquisition of such a perfected photo box starts at approx. 4,400 € plus VAT and pays off for companies with around 100 employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
