The use of a photo box for employee photos
The employees in your company have the option of photographing and/or updating their own employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or the company canteen or HR department).
It is important that this happens in the form of a self-service process and that you do not need additional staff on site.
You give your employees the chance to fully identify themselves at any time with their personal employee photo.
The personal photos are automatically cropped to the optimal format, freed from disturbing elements in the background and optionally saved in different shapes and aspect ratios.
One possible solution
You position a photobox set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary actions on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read immediately from the employee ID card. The information recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the image can also be displayed.
After the employee picture has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned at a defined point on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). The file name is used to compare the photo taken with the in-house employee data record. We would be happy to support your IT department in determining the interface.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place synchronously in various forms.

Of course, each file can also be “branded” with company logos and/or the name and position of the employee will appear directly on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to choose from to get his photo as a file.
- Download from an offline gallery via QR code
The Photo Box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where employees can download their pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.

At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to load their original photo and the various versions for the various target systems.
Alternative deployment options
To get the most out of your investment, you have the following options:

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.
